Incident in the Site (East Front Gardens)

In the event of an incident in the site (East Front Gardens), Exhibitors and Contractors must NOT call 999 for emergency services but should contact the Organising Team on 07831 095236 or 07502 333773 or via the River Street Events radio to report the incident. Venue staff will manage any required response.

If necessary, all Exhibitors and Contractors should make their way to a place of relative safety within the gardens and follow any instructions given by Venue staff. Should it be necessary to evacuate the Gardens the following routes can be used to move to alternative assembly points on site.

In the event of a Fire in the site:

DO NOT phone 999 – contact the Organising Team on 07831 095236 or 07502 333773 or any other staff member, who will contact with the venue team to liaise with the emergency services. Personnel should not tackle the fire unless they are trained to do so. N.B. specific stands will have firefighting equipment and personnel able to operate them in line with their risk assessments.

Incident in the Palace

In the event of an evacuation from the Palace, the site in the East Front Gardens will become an Assembly Point for Palace visitors. Contractors and Exhibitors will be alerted to the incident by staff from the Organising Team and all works and vehicle movement must cease.

Venue staff will take the lead in managing the incident and Exhibitors and Contractors should await further information from the venue or the organising team before resuming work. If an evacuation of the whole site is necessary, please follow all instructions given by venue staff or the organising team.

First aid / Medical emergency

For first aid assistance please contact the Organising Team on 07831 095236 or 07502 333773. Alternatively contact any of the River Street Events team or Hampton Court Palace team with a radio and give them details of what has occurred and the location. They will radio the first aid team on the event site to assist.

Do NOT phone 999 for ambulance services – if required, these must be requested via the organising team who will contact Palace Control room.

Unattended/ suspect package

If an unattended/ suspect package is found, staff in the area should ask people in the proximity if the item belongs to them. If the item is unclaimed, contact the organising team on 07831 095236 or 07502 333773. Or contact any of the River Street Events team or Hampton Court Palace team with a radio giving details of what has occurred and the location. Ask people to clear the area. The Palace Control room will be contacted to deal with the incident.
