Please read the following carefully:

  • No smoking is permitted on Palace grounds.

  • All equipment & items are to be carried through the Palace by hand or on trolleys (having rubber type wheels) and never dragged or rolled along the floor or over the stairs.

  • Tables should be lifted by 2 people.

  • Stack chairs no more than 10 high

  • Nothing should be stacked against panelling or walls, inside or outside.

  • Stone window seats must be protected against scratches etc.

  • All structures must be 3 metres from the Palace walls.

  • Food that is served must be approved in advance by the organisers to avoid the inclusion of food that could potentially cause damage to the Historic fabric of the building. Deep fat frying, curry, beetroot, berries and spices such as turmeric and saffron are not allowed.  In addition, any strong smelling foods may not be served.

  • No buffet service is permitted. Foods should be small in size and not sloppy or contain sauces that could spill.

  • Food purchased in the Base or Clock court must be consumed in these areas, no food can be transported through Fountain court. Food purchased in the East Garden must then also be consumed in this area and not taken back into the palace.

  • Drinks should be served in cups with lids and should never be filled to the top.

  • The use of LPG gas is to be restricted and, where possible, should be completely avoided.

  • When staff are clearing areas or tables they should only carry 2 plates or glasses at a time to reduce the risk of dropping.

  • Slops containers must not be filled by more than a third, must be fully waterproof and must be fully wrapped in cling film to prevent splashing when in transit.

  • Dirty glasses should be packed in crates the right way up.

  • If there are any spillages then a member of the Organisers should be alerted ASAP to minimise the risk of the Palace.

  • All waste should be double bagged in clear plastic bags.

  • Structures must be fully built off site, and all nailing, cutting and painting involved completed before arrival. Only assembly will be permitted at the Palace.

  • Structures and equipment must be broken down into manageable parts of less than 3 meters in any dimension. This is necessary for safe moving of the items in and out of the Palace.

  • Doors must be opened or closed with care.  Items measuring 1.25m or bigger in any dimension must be carried by no less than two individuals.

  • Floors, and in certain circumstances also doorways and walls, must be protected from accidental scratching and gouging when moving the components of a structure in and out of the palace and during installation and take-down.

  • All rubbish is to be removed by the contractor before leaving the area. If necessary the area where large install has been must be swept.

  • Light is to be reflected, not aimed at any historic object.

  • Sound levels should remain below 80dB.

  • Low frequency vibrations (typically from more modern music) should be avoided as these have been seen to have potential to damage the fabric of the building.  In simple terms, windows could become more “rattly” or historic architectural fitting could become loose when exposed to vibrations.

  • All requests for special effects must be discussed in advance with the Organisers.   Generally they are not permitted.

  • Fog / mist machines are not permitted in any part of the Palace.

  • Store holders selling any products that have the potential to leak or stain i.e wine; oils etc. must double bag the items for the visitors to carry.
